Management snapshots every day

Reports arrive on their own, without waiting for a manager

At night, the system collects figures from PMS, 1C, iiko, banks and the tax authority. In the morning, the executive and the owner get a ready snapshot in Telegram and by email. Nobody exports to Excel or merges spreadsheets.

An executive's day in the Reikartz chain

  1. BankStatements loaded and matched to contracts.
  2. Yesterday's salesRevenue, room nights, occupancy and pace against budget for each hotel.
  3. Front desk shiftsReceipts without fiscalization, overdue advances, guests who have not paid.

Statistics on the owner's phone

When you want to check for yourself, you don't need to call the general manager. The Android app and the web version show occupancy, ADR, RevPAR, today's cash, debts and a comparison with last year.

Access by role: an owner sees their hotels, a director sees theirs, a partner sees occupancy only.

Independent control of accounting

The owner sees what the accountant does and knows what to ask

Every day the system checks the books in 1C from the outside, without asking the accountant. The owner sees what has been done, what is overdue and where the errors are, and gets specific questions the accountant has to answer. No accounting background is needed.

What was done today

Which documents were posted, who changed what in the database, including backdated changes in a closed period.

Outside reconciliations

Cash and bank against 1C, till revenue reported to the tax authority against 1C, e-invoices against sales, PMS against 1C.

Overdue items

E-invoices not issued, unsettled employee advances, unmatched bank statements, unanswered letters from the tax authority.

Accounting errors

Expenses without a budget line or cost center, mismatches in settlement accounts, duplicate counterparties and contracts.

Reports in plain words

Where the profit came from, where the money went, what changed against last month and which taxes are coming up.

Full database audit

A one-off check of the whole 1C database before an accountant changes or when you buy a business. In the chain's live database we found 444 issues.

Questions for the accountant this weeksample
  1. 12 September invoices still have no e-invoice. When will they be issued?
  2. Till revenue reported to the tax authority is 3.1 million soums higher than in 1C. Where is the gap?
  3. Who changed the August postings on October 14, and why?
  4. An advance of 4.5 million soums was paid 40 days ago and is still open. When will the report come?
  5. The tax authority's letter of October 9 has no reply. Who is preparing it, and by when?

Answers are checked against the next snapshot, so you see whether it was fixed.

Restaurants and bars

iiko: a report for every shift and menu analysis

Closed shift report live

Right after a cash shift closes, the owner gets revenue, average check, cost of sales, staff costs and the shift result. Deviations trigger an alert.

ABC menu analysis service

Shows which dishes make a profit and which to drop or reprice.

Kitchen load and cook schedules service

Kitchen load by the hour and schedules that match real guest flow. At one restaurant the calculation showed savings of about 1.6 million tenge a month.

Food cost at purchase prices live

The cost of dishes and breakfasts is recalculated at actual supplier prices. A banquet menu is broken down into products per guest.

Acquiring and delivery notes live

Card payments are matched with the bank. Incoming delivery notes are matched with Didox invoices and stock.

Delivery in one report pilot

Wolt, Yandex and Glovo orders together with iiko sales. You see which channel brings in the money.

Staff incentives service

Incentive schemes for waiters and cooks are calculated from iiko data, with no manual spreadsheets.

Kitchen inventory against norms live

Handwritten inventory sheets are recognized and reconciled with the norms. All 15 kitchens in the chain now reconcile to zero. A reminder goes out between the 5th and 10th of each month.

Six levels of automation

We treat a hotel as a building, from roof to foundation

Each level works on its own and strengthens the others. You can start at any level. The labels show what already runs in our chain every day, what is in pilot, and what we build for a client's task.

Video and audio

Cameras and microphones at front desks, archive, operator reports

Front desk cameras are checked automatically, around the clock, with no operator on duty. The general manager learns about a violation in Telegram, and what the camera sees is checked against PMS.

Front desk video control live

The system reviews camera recordings and finds violations: an employee asleep or away, outsiders behind the desk, a conflict, handling of cash. In the evening the executive gets a digest. 20 cameras, 44k frames checked in three weeks.

Front desk audio control live

Recognizes conversations in Uzbek and Russian, translates them and shows how the employee talks to the guest and whether they follow the standard.

Front desk check against PMS live

Camera events are checked against check-ins in PMS. A guest at the front desk with no record in the system needs review.

Operator reports into a database live

Daily reports from CCTV operators are parsed into a database of violations by hotel. 2,741 checks, violations found in 27%.

Camera and archive health live

If a camera drops off the network, a ticket is created at once. When the disk fills up, the oldest archive is deleted automatically by a size limit.

Face-ID for front desk clerks pilot

Clerks sign in to PMS by face. Day and night, the system spot-checks that the right employee is on shift.

Shift rating by findings live

Confirmed camera findings feed a weekly rating of employees and hotels. Bonuses depend on real work.

Breakfast, parking, corridors custom

Breakfast guest count against PMS, license plates in the parking lot, cleaning time from corridor cameras.

5

Smart room

Sensors, climate, locks, energy

The room reports what is happening in it: the temperature, whether a guest is there, whether the door is open, which key cards have been issued.

Climate on Tuya sensors live

Temperature and humidity in rooms and service areas. Reports dead batteries and silent sensors, and sends alerts to Telegram and a morning summary.

Presence sensors pilot

Shows whether a room is actually occupied. Energy saving and the search for rooms sold outside the system are built on this.

Unified lock log custom

We combine lock databases from different vendors (BeTech, TTLock, Goodum, Orbita, HUNE) in one place: which key cards were issued, by whom and for which room. 49k cards have already been issued from PMS.

Energy saving custom

When the guest is away or a window is open, the air conditioner switches off. Electricity and water meters send readings remotely.

Leaks and smoke custom

A sensor triggers, the engineer on duty gets an alert, and a ticket appears at once in the facilities team's queue.

Control of sales outside the cash desk custom

Cross-checks three sources: the key card issued at the lock, presence in the room and the stay in PMS. The executive sees any mismatch at once.

4

Front desk and guest

Shifts, cash desk, foreign guests, OTA, calls

Night audit, fiscalization, foreign guest registration, OTA bookings. The general manager used to check all this by hand. Now the system checks every 10 minutes.

Front desk and cash control live

Every shift is checked for guests without payment, cash at the desk, payments without a fiscal receipt, overdue advances, shift closing reports and card slips. Over 30 days: 433 shifts and 2,112 card transactions.

Foreign guest registration in e-mehmon live

Matches PMS arrivals with e-mehmon, finds unregistered guests and calculates the tourist tax. Over 30 days it checked 11,433 arrivals.

Call transcription live

Transcribes every call to the hotel, finds missed calls and sends a summary in the evening. 7,610 calls in 30 days.

Charges without an invoice live

Every day the reservations team gets a list of corporate and group charges with no invoice issued.

Upgrade advisor live

The day before arrival, it tells the front desk which guests to offer a better room.

Single window for reception Telegram accounts live

All work Telegram accounts of the front desks on one screen. Viewing does not mark messages as read.

Guest complaints with response control live

A complaint or review goes straight to the general manager. The reply is due within 24 hours.

Cancellation control pilot

Emails from OTAs and tour operators about cancellations are checked against PMS, so bookings do not hang and cancellation fees are not lost.

AVCM channel manager pilot

OTA bookings flow into PMS under each platform's rules. Prices and rate plans in one window, and the hotel shows up in Google Hotels search.

Hotels on maps pilot

Shows how the hotel looks on Google Maps, Yandex Maps, 2GIS and TripAdvisor: gaps in listings and reviews.

Our own next-generation PMS pilot

A two-year reservation chart, group bookings, a cash desk with blind reconciliation at shift handover, automatic housekeeper assignment, passport scan with recognition and a PINFL (personal ID number) check. 51 modules, including budgets, Multibot, e-mehmon, Didox and 1C. Pilot in one hotel.

HR in Telegram live

Employee card from ZUP, trainees, probation periods, candidate forms, vacancies via HeadHunter.

Answers from your accounting data live

An accountant or executive asks a question in chat and gets an answer from 1C, sales and turnover data. The databases are read-only, nothing in them changes.

Corporate taxi live

Yandex Go trips are checked against ZUP, dismissed employees are cut off the same day, and an employee explains disputed trips on the site. 1,539 trips a month.

Contract review live

The contract arrives by email. A legal opinion and a revised draft in Word come back. The database of Uzbekistan laws is updated every week.

Weekly meetings from recordings pilot

Recordings of weekly property meetings become minutes and are checked against last week's action items.

Beyond hotels

The same tools work in restaurants, retail, clinics and construction

A hotel puts a till, a warehouse, a kitchen, shifts and dozens of staff under one roof. That is why almost everything we built for hotels fits any business with several locations, shifts and 1C. Below are typical rollout scenarios.

How we implement

One hotel first, then the whole chain

Audit

We review your 1C database, PMS and front desk processes. We show where money and time are lost. One to two weeks.

Pilot

We launch the chosen levels at one hotel and check the figures against yours. Two to four weeks.

Rollout

We extend the solution to the other hotels and train general managers and the accounting team.

Support

We monitor the system, update 1C and integrations, and develop further on your requests.

Frequently asked questions

The essentials

Where is the data stored?

On your servers if you choose installation. With a cloud subscription, data is stored on our servers. Access is granted by role, and the accounting databases are read-only until you allow writing.

Will we have to take 1C off vendor support?

No. The standard configuration is not changed, all customizations sit in a separate section. Updates install as usual.

We use a different PMS. Will it work?

With Servio everything connects right away. We connect other PMS through their data exchange interfaces or exports, and we assess this during the audit.

Do you work in Kazakhstan?

Yes. Some solutions already run in the Kazakhstan environment: 1C Accounting and ZUP, iiko, receivables, the payment register.

Can we take just one level?

Yes. Most clients start with front desk control or with 1C, where results show up fastest.
